Time tracking in a restaurant: reliable clock-ins with no disputes
Reliable time tracking is the kind nobody questions at month end.

Disputes over hours worked almost always start in the same place: a missed clock-in, an hour rounded by eye, a correction agreed verbally and never recorded. The issue is not bad faith, it's the lack of a trail both sides can check.
Choosing the right method for the venue
- Physical badge: fast, suits larger teams with a fixed access point
- Personal PIN on a shared tablet: nothing to carry, useful for small venues
- Fixed on-site tablet with person recognition: cuts down on buddy clock-ins
The criterion is not the newest technology, it's the one the team will actually use without shortcuts. A complicated method gets bypassed, and a bypassed method produces useless data.
The buddy clock-in problem
In many venues one person clocks in for a colleague running late. A non-shared personal PIN and a tablet placed where the manager can see it cut this practice sharply, without invasive checks.
Corrections: always logged, never verbal
- Whoever requests a correction states the reason in writing, even briefly
- Whoever approves it leaves a signature or a digital approval
- The original clock-in stays visible, it is not overwritten
- Recurring corrections on the same person or day get reviewed, not just approved
Closing the month without surprises
Month-end closing goes smoother when anomalies are reviewed every week, not all at once on the last day. A weekly check of missing clock-ins, unusual times and pending corrections avoids reconstructing a whole month under pressure, and cuts disputes because each discrepancy is clarified close to the event, while everyone still remembers it.
- Weekly check of missing clock-ins
- Review of times out of line with the planned shift
- Closing pending corrections before the weekend
FAQ
Is a shared tablet safe against buddy clock-ins?
It reduces the practice if placed somewhere visible and paired with a personal PIN, but no system fully removes the behaviour without manager attention.
Does every correction need manager approval?
Yes: a correction without a logged approval is the same as having no rule, since anyone could adjust the time as they like.
How often should clock-ins be checked?
Weekly: waiting until month end makes it harder to reconstruct what happened and more likely to trigger a dispute.
