Clock in with a QR badge or a PIN: what works in the dining room and the kitchen

Digital clock-in only works when it is faster than the notebook. If someone has to recall a password in front of eight waiting colleagues, they will be back to writing hours by hand within a week.

The QR badge

The badge is a laminated card or a phone screen: hold it up to the tablet camera and the punch is recorded. It is the fastest method and asks nothing of anyone’s memory.

• Zero friction: nothing to remember, which matters for seasonal staff and extras.
• It needs managing: whoever loses a badge must be able to get a new one immediately.
• It needs a working camera and decent light at the staff entrance.

The PIN code

A personal PIN cannot be lost, is harder to lend and works even when the camera is dirty or covered — more common in a kitchen than it sounds.

• Nothing physical to hand out or replace.
• It must be long enough not to be guessable.
• It needs a clear rule: PINs are not shared, punching for a colleague is a disciplinary matter.

What matters beyond the method

1. Punches must feed the timesheet with no re-entry.
2. Comparison against the planned shift must be automatic, otherwise overtime is discovered once already paid.
3. The device must work offline: kitchen wifi drops exactly during the rush.

With those three covered, the authentication method becomes an organisational preference rather than a technical constraint.
