Site and user limits in your Klyra plan
How site and active user limits work, what happens when you reach them and how to expand them.
Every Klyra plan includes a number of sites and active users: knowing how they are counted helps you plan growth without surprises on your next invoice. Limits never abruptly block daily work, but exceeding them requires a deliberate action.
How a site is counted
A site is active when it has at least one linked user and has not been archived. Opening a new site, even a temporary one, uses up a plan slot until it is disabled or archived.
How users are counted
An active user is a person with a working account, regardless of how many sites they work at. A staff member working at two sites counts as one active user, not two, because counting is per person.
- Disabled accounts do not count toward the limit
- Pending invitations do not count until accepted
- The count updates in real time
What happens when you reach the limit
When the plan limit is reached, the app warns you before completing an invitation for a new person or opening a new site, offering the option to expand the plan right from that screen. No existing account is automatically suspended.

Problemi frequenti
- You cannot invite a new person → you have reached the plan user limit → archive an inactive account or expand the plan.
- An archived site keeps counting toward the limit → archiving was not confirmed properly → retry from the organisation section and check the status.
- The user count looks wrong → a long-pending invitation may cause confusion → check the invitation list and cancel any no longer valid.
- You expanded the plan but the limit does not update → the change takes a few minutes to propagate → reload the page shortly after.
Domande frequenti
Does a staff member working at two sites count twice toward the limit?
No, counting is per person: an active user across several sites counts once.
Can I downgrade the plan if I remove sites?
Yes, after archiving sites or users you can consider a lower plan from the next billing cycle.
What happens to a disabled account for limit purposes?
It is not counted among active users, but its historical data remains visible in reports.
