Automatic OCR reading of the receiving document
How automatic reading of delivery note or invoice lines works and what to do when a correction is needed.
After uploading a photo or PDF, Klyra automatically extracts the document lines: product, quantity, unit of measure and price. This step drastically cuts down manual typing time, while still leaving the operator the final say during verification.
What automatic reading extracts
For each line of the document, the system identifies the product description, delivered quantity, unit of measure and the unit or total price stated by the supplier. Extracted lines are proposed already matched, where possible, to products already in your catalogue.
Processing time depends on document quality and number of lines: for standard documents it is a matter of seconds.
Matching against catalogue products
When a product on the document corresponds to one already recorded for that supplier, Klyra matches it automatically. For new or unrecognised products, the system flags the line for manual matching before continuing.

When reading is not accurate
Automatic reading can make mistakes on handwritten documents, low-quality photos or non-standard invoice layouts. In these cases every line remains editable before final confirmation, so an error never enters stock unchecked.

- The quantity read is wrong → the document had a smudged or hard-to-read figure → correct the value by comparing it with the original document
- A price is read as a quantity or vice versa → the document layout is not standard for that supplier → check and manually correct the affected line
- Reading takes a long time → the document has many pages or low image quality → wait for it to complete or upload a sharper photo

Does automatic reading work with handwritten documents?
Yes, but with lower accuracy than printed documents; in these cases it is advisable to check the lines more carefully.
What happens if a product is not yet in the catalogue?
The line is flagged for matching and you can create the new product directly while verifying the receipt.
Can I edit a line after automatic reading?
Yes, every line remains editable until the receipt is finally confirmed, including quantity, price and matched product.
Does reading also recognise VAT shown on the invoice?
Yes, when present in the document, the VAT rate is extracted together with the other line information.
